Our client is a leading global asset management firm specialising in real estate, infrastructure, renewable energy, and private equity is looking for an Executive Assistant to join their Luxembourg office.
As the Executive Assistant, you will provide comprehensive administrative support to senior management, ensuring the smooth running of office operations. This position requires a proactive individual with excellent organisational skills and the ability to manage multiple tasks simultaneously.
Main Duties:
- Calendar Management: Coordinate and manage complex schedules and organise meetings, appointments, and travel.
- Communications Management: Act as the primary contact for internal and external communications (emails, phone calls).
- Document Preparation: Draft, proofread, and finalize various documents, reports, and presentations.
- Meeting Organisation: Prepare materials, write minutes, and follow up on actions.
- Travel Organisation: Plan and coordinate travel (flights, accommodations, transportation).
- Expense Management: Process and track expense reports.
- Administrative Support: Manage the supply of supplies and mail and ensure the smooth flow of daily operations.
Required experience and skills:
- Between 2 and 5 years of experience as an Executive Assistant or in a similar administrative role.
- A university degree or equivalent experience is preferred.
- Proficiency in Microsoft Office tools (Word, Excel, PowerPoint, Outlook).
- Excellent written and oral communication skills.
- Strong organisational and time management skills.
- Discretion and management of sensitive information.
- Fluent in English (another language would be an asset).
